Page Formatting
Page Margins
The page margins of the document can be changed using either the rulers on the page or the Page Setup dialog box. To use the ruler method:
- Move the mouse over the area where the white ruler changes to gray.
- When the cursor becomes a double-ended arrow, click with the mouse and drag the margin indicator to the desired location.
- Release the mouse when you are comfortable with where the margin is set.
Alternatively you can set the margins in the Page Setup dialog box:
- Go to the Ribbon, to the Page Layout tab in the bottom right corner of the group, click the arrow-in-a-box button to open the Page Setup dialog box.
- Enter margin values in the Top, Bottom, Left, and Right boxes. The Preview pane at the bottom will reflect the changes. The gutter is the gap between columns if you have them.
- If the document has Headers or Footers, the distance this text appears from the edge of the page can be changed.
Page Size and Orientation
There are many different sizes of paper when you create a document. You want to choose what kind of paper you will be presenting the document in. By default the page size is set to Letter which most people are accustomed to using. To change the page size:
- Go to the Ribbon, to the Page Layout tab and select Size and select the appropriate size.
- Alternatively go to the Ribbon, to the Page Layout tab in the bottom right corner of the group, click the arrow-in-a-box button to open the Page Setup dialog box.
- The orientation can also be changed here.
Headers and Footers
A header is text that is added to the top margin of every page, such as a document title or page number, and a footer is text added to the bottom margin. Follow these steps to add or edit headers and footers in the document:
- Go to the Ribbon, to the Insert tab and in the Header and Footer group and select either Header or Footer and select the style of header and footer that you like.
- To edit the header and footer, go into the same menu where you chose the style and select Edit Header or Edit Footer.
- To remove the header and footer, go into the same menu where you chose the style and select Remove Header or Remove Footer.
Page Numbers
- Go to the Ribbon, to the Insert tab and in the Header and Footer group and select Page Number
- Choose where you want the Page Numbers to go.
- Then choose how the numbers will be displayed and in what style at that location.
- From that same menu you can select what format the Page Numbers will be by selecting Format Page Numbers.
Print Preview and Printing
All printing options for Word are on the Office Button. Go to the button and select Print. This opens up the options to Print, Quick Print, and Print Preview. Print Preview shows what you document would look like if you were to print it out. Quick Print quickly sends the job and without needing to specify details about the print job. Print is where you can select details, options, and settings for a specific print job.
